The Role

Hertfordshire Care Providers Association (HCPA) is a multi-award-winning company that is dedicated to providing excellent support to providers of care services in Hertfordshire and beyond. The company offers training courses, support projects, and innovative methods to assist care companies and care staff in improving their services and delivering meaningful, personalised care. HCPA's CEO was recently awarded an OBE for their work leading the company and its activities.

HCPA are looking for an Event Coordinator to join the team. This is an exciting opportunity for an event coordinator who has the knowledge and skills to support the delivery of a range of online and face-to-face events supporting the expansion of a rapidly growing not-for-profit organisation. This diverse role will appeal to a candidate with a good eye for detail and exceptional organisational skills to help drive the delivery of a calendar of events and someone self-motivated and person-focused. The ideal candidate will have events experience or be a graduate who has excellent communication skills. The main requirement is to be passionate about delivering exceptional events and to aid HCPA in its mission to share best practice in care through partnership.

Role Requirements

1. Event organisation: From initial event concept, diary management, spreadsheet management, booking of venues, creating registration links for online events, writing communications to promote, managing presentation content formatting and design and working with external suppliers and speakers.

2. Event delivery: Ensure smooth delivery of tasks for a successful series of events to HCPA Members, promoting best practice, from set up either online or onsite, delegate registration to liaising with suppliers, stand holders and speakers.

3. Post-event: Sending of post-event emails, including resources and requests for feedback. Ensuring event resources are uploaded to the HCPA website.

4. Evaluation: Collecting and Collating event feedback and post-event analysis into structured reports. Supporting all HCPA projects by providing evaluation results from events for input to reports for the team.

5. Customer satisfaction: Oversee the coordination of all call-to-action feedback surveys. Report on findings to feed into the development of HCPA and partner services and projects.

6. Additional Administration and Support: Manage event mailboxes and general enquires, ensure the event calendar is up to date on the HCPA website, ensure the event resource page is up to date and work with other departments to link event resources to education and ensure anything topic-specific lives on wider resource library.

7. Coordination and Administration of the Hertfordshire Care Awards including promotion, managing the judging process, ticket distribution, and operational support at the live event.

Person Specification

• Event experience with awareness of current trends and tools

• Good inter-personal skills and customer focus

• Good communication skills, both written and verbal, with excellent writing and copywriting skills

• High-quality standards with good attention to detail and accuracy

• Ability to work collaboratively with individuals across different levels

• The ability to prioritise and be well-organised

• Good competence in the analysis and interpretation of information and data

• Self-motivated and able to work to set deadlines

• Advanced knowledge of Microsoft Office packages

• Flexible working arrangements will be required during all events
